To secure accommodation
please book prior to the closing date of Friday 15
August 2008. Rooming allocations will be held until
Friday 15 August 2008 and cancellation fees may
apply after this time.
Accommodation has been organised at Conference
rates. All Conference accommodation is within a
short stroll to the Conference venue. Please direct
all accommodation enquiries to the Meeting Office.
The accommodation venues WILL NOT accept direct
bookings. The room rates are per night and do not
include breakfast. All changes to accommodation
requirements must be made in writing to the Meeting
Office, NOT to the accommodation venue. If requested
accommodation is not available we will reserve a
similar alternative.
Accommodation will be allocated in order of receipt
of bookings and credit card information. Delegates
who intend to share a room should indicate the name
of the person with whom they wish to share on the
registration form. Only ONE of the sharing delegates
should submit the accommodation booking.

. Problems could be experienced if your
selected accommodation is no longer available, or if
you are selecting accommodation outside our
allocated dates.
Arrival Time
Please indicate on your registration form your
estimated time of arrival to the hotel. Check in
time is usually from 2:00pm. Should you wish to
guarantee your room is ready before the hotel check
in time it is recommended that you book and pay for
the room for the evening prior to your arrival.
Failure to advise your arrival time may mean that
your room will be released.
To Secure Accommodation
To secure your reservation you must provide credit
card details. Your credit card details will be
passed on to the hotel as a guarantee. Bookings
cannot be made until the Meeting Office receives
your credit card details. Your account is to be
settled directly with the hotel upon checkout. Any
no-show fees will be charged to your credit card.
Please note that the Meeting Office does not accept
payment for accommodation on behalf of the
accommodation venues. Room rates are in New Zealand
Dollars and include the New Zealand Goods and
Services Tax (GST) unless otherwise specified.
Change of Booking
Alterations to your accommodation booking will not
be accepted over the telephone. Alterations must be

Cancellation of Booking
Cancellations must be advised in writing to the
Meeting Office. The deposit will be forfeited for
all cancellations received after Friday 15 August
2008 or if the room is not occupied on the advised
date of arrival.
